The Travel Desk Coordinator will be responsible for managing all travel-related operations for events, including bookings, scheduling, and coordination for clients, teams, and guests. This role ensures smooth and efficient travel arrangements, contributing to a seamless overall event experience.

The ideal candidate will handle end-to-end travel planning, including transportation, accommodation, and itinerary management, while coordinating closely with internal teams, vendors, and external stakeholders. Attention to detail and strong organizational skills are essential to ensure accuracy and timely execution of all travel plans.

This role also involves managing last-minute changes, resolving travel-related issues, and ensuring a comfortable and hassle-free experience for all travellers. The Travel Desk Coordinator plays a key role in supporting event success by ensuring that all travel logistics are well-planned, cost-effective, and aligned with business requirements. 

Key Responsibilities

  • Handle flight, train, and hotel bookings for clients, teams, and participants
  • Coordinate travel schedules aligned with event timelines
  • Manage airport pickups, drop-offs, and local transportation
  • Liaise with travel vendors, hotels, and transport agencies
  • Track bookings, confirmations, and itineraries
  • Handle last-minute travel changes and emergency arrangements
  • Ensure smooth travel experience for VIPs and guests
  • Maintain records of travel expenses and reports
  • Coordinate with event team for seamless integration of travel plans

Requirements

  • 1–3 years of experience in travel coordination / travel desk / operations
  • Familiarity with booking platforms and travel tools
  • Strong organizational and coordination skills
  • Good communication and vendor management abilities
  • Ability to handle urgent requests and dynamic changes
  • Basic knowledge of routes, airlines, and travel logistics
