Personal Assistant / PMO

The CEO’s Personal Assistant / PMO will act as a strategic and operational support to the CEO, ensuring smooth day-to-day management, effective coordination, and timely execution of key business priorities. This role requires a high level of confidentiality, ownership, and the ability to manage multiple responsibilities across functions.

The ideal candidate will bridge communication between the CEO and internal/external stakeholders while also supporting project tracking, follow-ups, and execution of strategic initiatives.

Key Responsibilities

🔸 Executive Support

  • Manage CEO’s calendar, meetings, and priorities
  • Coordinate internal and external communications on behalf of the CEO
  • Prepare reports, presentations, and briefing documents
  • Handle confidential information with discretion

🔸 PMO / Strategic Support

  • Track key projects, initiatives, and deadlines across teams
  • Follow up with departments to ensure timely execution
  • Prepare MIS reports, dashboards, and status updates
  • Support in planning and executing strategic initiatives

🔸 Coordination & Communication

  • Act as a central point of contact between CEO and teams
  • Coordinate with HR, Finance, Marketing, and Operations
  • Ensure alignment of tasks with business goals

🔸 Operational Efficiency

  • Identify gaps in processes and suggest improvements
  • Ensure smooth flow of information across departments
  • Assist in decision-making by providing relevant data and insights

Skills Required

  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • High level of confidentiality and professionalism
  • Analytical thinking and problem-solving ability
  • Proficiency in MS Excel, PowerPoint, and reporting tools
  • Ability to work in a fast-paced and dynamic environment

Preferred Qualifications

  • 1–4 years of experience in PA / PMO / Executive Assistant roles
  • Experience in startup or fast-paced environments preferred
  • Exposure to cross-functional coordination

Reporting Structure

  • Reports directly to: CEO
  • Works closely with:

    • All Department Heads (HR, Finance, Marketing, Ops, Tech)
